Invoice Controller – Seasonal Summer 2027

About the role

Pole Position Logistics, based in Longyearbyen since 2005 and a broad Arctic logistics provider covering ship agency, dispatch and local distribution, is looking for an engaged and enthusiastic invoice controller for the summer season 2027. You will work closely with the port agents to ensure services for expedition cruiseships, yachts, research vessels and cargo ships are billed accurately and on time.

Key responsibilities

• Follow up supplier invoices, customer invoices and related documentation
• Control and approve supplier invoices, prepare and send customer invoices, and reconcile delivered services with received invoices
• Handle customer and supplier enquiries, quality-check billing documents and follow up PDA (Proforma Disbursement Accounts) and SOA (Statements of Account)
• Manage advance payments and payment plans
• Work closely with port agents, the dispatch department and the distribution department

Required profile

• Very good spoken and written English; Norwegian or another Scandinavian language is an advantage
• Bachelor's degree or relevant experience in economics, accounting or finance
• Experience as an invoice controller; cruise industry knowledge is an advantage
• Class B driving licence
• Ability to learn new data systems quickly; experience with MXP is an advantage
• Comfortable in a fast-paced environment, proactive, accurate and detail-oriented

Required skills

• Good understanding of invoicing processes from receipt to payment
• Experience with VISMA Business NXT, Advanced Workflow or similar invoicing systems is an advantage
